Working with Statuses

There are three main status indicators provided by Email Jobs, which can be used to track the status of an Email Job. These are:

  • Email Status: the status of an individual email
  • Task Status: the status of an Email Task (which belongs to an Email Job); and
  • Job Status: the status of an Email Job

Include these three statuses in your Email Jobs view, so that you can track the current situation of your Email Jobs.

Description

Stopped

If the recipient clicks on "Acknowledge this Email", it stops all further reminders.

Not Sent

If before the day the email was scheduled to be sent the client supplies the information requested, a staff member ticks the "Received" box and completes the job.

Failed

Nimbus couldn't send email for some reason - eg:

  • bounce from the recipient's email server (SPAM)
  • wrong email address for client
  • client Inbox full

Sent

The email job was successfully sent by Nimbus to the selected recipients

Viewed

The email has been opened by the recipient. Note: if the recipient viewed the email, but it is not reflected at the Viewed Status, it means that is the recipient has the automatically turned off the viewing of images.

Pending

The email job is scheduled to be sent in the future.

The webform has been downloaded by Practice, or the Received box has been ticked.

Approval Req

The email job is currently waiting for the approval, which has been setup on the Schedule tab.

In Progress

Job has been sent, and Task is in Progress

Form Opened

Checklist has been opened

Data saved

Checklist has been saved, but not Submitted

Submitted

Checklist has been Submitted

Expired

This is set if the job has a Follow-up email, but does not have a Discontinue date

Unsigned Documents

Documents that were set to be signed, but have not yet been signed

Approval Req

Approval has been selected on the Schedule tab of an Email Job

Suspended

Job has been suspended. To suspend an email job simply click on the Active icon and to resume it, click on the Suspended icon.

Archive

Job is complete, i.e., Job has been downloaded by Practice or Received has been selected.

Active

Job is current and not complete.
