WebForms - the Process

WebForms allow a Practice to manage the collection and sending of confidential client information through the use of online questionnaires. It is a module of Nimbus which allows a practice to setup emails that can recur on a regular basis and that can send reminder emails to clients when they have not yet provided their information. Embedded within the email sent is an online questionnaire, which the client is asked to complete. The practice can utilise one of over 40 different WebForm templates, providing the following:

  • Email to the client
  • Follow-up email for reminders
  • WebForm questionnaire
  • Scheduling detail

These templates allow a Practice to start utilising WebForm immediately.


The WebForm Process

The process of sending out an Email Job is simple and time efficient when using Templates. The following details the steps involved in sending an Email Job to a group of clients. This process details when the Email Job statuses change, and at what stage a Client or Staff member receives an automated email notification.

Select WebForm Template – either (Master or Practice)

To edit WebForm, client can either pick up original email and reopen link, or go to Client Portal and select from My WebForms.

Client answers WebForm and Submits when complete

Client is advised on screen that Submit is successful. Also receives email notification with link to WebForm.

Staff member responsible for Client receives email advising WebForm has been submitted.

As soon as a WebForm is submitted, system turns off automatic reminders, and updates the Received date

WebForm Job is then stored in the Clients folder as WebForm.pdf with any attached files

Staff member may view the Webform package by clicking on the hyperlink under the "Submitted Name" column within email jobs grid (or) Staff member downloads the WebForm package to their desktop which includes all files

When the WebForm package is downloaded, the system will record the date of the download, and which staff member downloaded it

Practice can manually override the Task and Job status by ticking the Received column. Date Received is then updated. This would occur if a Client brought in/posted their WebForm details on paper etc.
