Inviting Clients to your Portal

There are a number of ways you can invite your Client/Contact to access their own secure client portal. These are:

  1. Manually send off a Welcome Email

  2. Upload / publish a file and use the automated email setup by the system

  3. Update your email stationery to include the login mechanism, and have your clients create their login when an email is sent to them

The Welcome email is a standard email template which can be found via Templates / System Emails. The content of these emails may be adjusted by the Business as required. Two (2) emails are provided in this area:

  • Client Welcome.email.html - this is sent when the manual process (1) is used

  • Client Welcome with Files.email.html - this is sent when process 2 is used

1. Manually send off a Welcome Email

This process can be performed via either the Client menu or the Contacts menu (only visible for Nimbus On-Ramp and Nimbus Professional).

  1. Via the Client menu

    1. locate the Client entity

    2. click the Welcome email icon

    3. this will send the Welcome email to the Primary Contact (if there is more than one contact related to the Client entity, only the Primary contact will receive the Welcome Email)

  2. Via the Contacts menu

    1. locate the Contact

    2. click the Welcome email icon

    3. this will send the Welcome email to the Contact

2. Upload / Publish a file and use the automated email setup by the system

This process relies on a setting in Admin / Client Portal being set. This is called “Automatic Upload Welcome Emails”. If this option is set and the business shares a file via a Client Entity, where any related Contacts DO NOT have a Login code, the system will send the Standard Email “Client Welcome with Files.email.html”.

3. Update your email stationery to include the login mechanism

The Welcome email utilises specific code to allow a Client / Contact to setup their login credentials to the Client Portal.

This is <ClientInitialPassword>

This code can easily be added to your email stationery (both ClientFacingSysetm.email.html and Standard.email.html) to allow your client to setup their login credentials at any time.

If a Client forgets their login credentials you can resend the Welcome email, to allow the client to reset their credentials. This is sometimes easier than the Client working through the reset password process.
