CDM - Publishing Documents
There are many ways to publish a document and make this visible to your Client. This article discusses the manual process of publishing.
Instructions
As a staff member, you may have the correct permissions to be able to publish documents and make these visible to Clients.
If the document has already been uploaded to a (Green) Current folder
- Note that the folder must NOT be set to "Prevent Publishing"
- Click the blue edit arrow to edit the Document Properties
- Tick the "Published" field to publish the document. Note that if this field has been greyed out, you will need to select a Workflow Status which allows documents to be published (e.g.: Published, Final etc).
- If you want to send an email notification to the Client, also tick the option "Send Published Notification"
- Click the Update button
- Note that this process may be repeated for any number of files. The email will be sent via Nimbus as soon as a new menu option is selected.
If the document is being uploaded to a "Yellow" "To Client" folder (or sub-folder)
- Any file which is uploaded directly into a "Yellow" "To Client" folder or sub-folder, will automatically be published and made visible to the Client
- When a file is uploaded, you may select to "Send file upload notification"
- When this option is ticked, the system will send one email with links to all files which have been uploaded in the same process
Publishing documents via an Email Job
- It is possible to publish documents via the process of sending an email job
- The document must be able to be published (e.g.: user must have publish permissions, file must be stored in a location where the file can be published)
