Finding Files

The content of all new documents, either uploaded into Nimbus, or created within Nimbus, is indexed at the time of upload/file create. This index which is built automatically, then allows you to search for either or both the Content (words contained within the file) or Properties (document properties such as filename etc) of any given document.

The “FIND” function is available via the following menus via an icon on the Toolbar:

  • Document menu

  • Client folder menu

The Find Files function supports the following:

  • Case Insensitive keyword search with logical And / Or operators. Allows you to search on any word that may be present within the content of the document.

  • Optional filename search

  • Filtering options for category and file modification date range

You can search based on part of a word, a whole word or a phrase, with the match dependent upon the Keywords that have been allocated to a file. The '+' symbol is used to indicate an AND operator and '|' used for OR. Thus, for example, to search for a document, which contains both 'Telstra' and 'Invoice' in no particular order, enter:

A search for 'Telstra Invoice' with the '+' would be looking for a key phrase that is an exact match.

Note: The AND operator takes precedence over OR, which means that the AND tests are executed first. So to look for a document which contains either 'Optus' or 'Telstra' and the word 'Invoice', the Keyword search string would need to be: 'Optus + Invoice | Telstra + Invoice'.

Note: The search is limited to the folder set currently displayed in the page, so in My Folders to search the entire folder set, it is first necessary to click the All Folders button. A client group can be searched by locating the Client in the Clients grid, clicking the Clients folder icon to open the client folder and then clicking the toolbar Show Group button.

Result Set

The result of a search which finds at least one matching file is called as Result set, and is displayed as a file list, for example:

 

Click on the filename to open it in the document browser or to download it from Nimbus. You can also click the conversation bubble to initiate or continue a file conversation.
