Recovery of Files

 

This article relies on version 2.19.8.12 or higher of the Nimbus AddIns

It is possible to recover work if a file is not saved back to CDM. The following article relates to Word, Excel and PowerPoint.

It relies on the AutoRecover option being set within the Microsoft Office App.

Setting the AutoRecover option within MS Office Apps

To set this option perform the following:

  1. Open the MS Office App

  2. Select File / Options

  3. Select the Save tab (via the MS Office Apps Options dialog)

  4. Set the “Save AutoRecover information every x mins” option AND

  5. Ensure you have the AutoRecover file location set

Option 1: Closing the App and YES to save your Changes

When you open a document from Nimbus CDM, the system automatically checks the document out, locks the document to the User, and opens the document in the working area of the MS Office App.

If you make changes to the file, and then close the MS Office App by clicking the Close icon in the top right hand corner, the system will ask if you wish to save the changes to the file. This dialog will present differently depending on the MS Office App being used.

  1. If you select Yes, to save changes, the Save to CDM dialog will display, allowing you to adjust any Custom fields, and then Save the file back to CDM.

  2. At this point, the document will be unlocked and checked back into Nimbus.

  3. The temporary file created when changes were made to the document will then be removed from both the following locations:

    1. AutoRecover File Location e.g.: C:\Users\UserName\AppData\Roaming\Microsoft\Word

    2. Working Data Location e.g.: C:\Users\UserName\AppData\Local\Nimbus\Cloud Document Management - CDM\Working Data

 

Option 2: Closing the App and NO to save your Changes

When you open a document from Nimbus CDM, the system automatically checks the document out, locks the document to the User, and opens the document in the working area of the MS Office App.

If you make changes to the file, and then close the MS Office App by clicking the Close icon in the top right hand corner, the system will ask if you wish to save the changes to the file. This dialog will present differently depending on the MS Office App being used.

  1. If you select No, to save changes, either the whole App will close (if there was only one window open), or the file will close.

  2. At this point, the document will be unlocked and checked back into Nimbus as the Checkout is undone.

  3. The temporary file created when changes were made to the document will then be removed from both the following locations:

    1. AutoRecover File Location e.g.: C:\Users\UserName\AppData\Roaming\Microsoft\Word

    2. Working Data Location e.g.: C:\Users\UserName\AppData\Local\Nimbus\Cloud Document Management - CDM\Working Data

 

Option 3: The MS Office App crashes, or End Task is performed

When you open a document from Nimbus CDM, the system automatically checks the document out, locks the document to the User, and opens the document in the working area of the MS Office App.

If you make changes to the file, and the MS Office App then either crashes, or End Task is performed, a recently saved copy of the file (via the MS Office AutoRecovery option) is accessible.

  1. The temporary file created when changes were made to the document will then accessible from either of the locations:

    1. AutoRecover File Location e.g.: C:\Users\UserName\AppData\Roaming\Microsoft\Word

    2. Working Data Location e.g.: C:\Users\UserName\AppData\Local\Nimbus\Cloud Document Management - CDM\Working Data

  2. When the MS Office App is opened again, MS Office will advise that a document can be AutoRecovered from the list

 

It is important that your MS Office settings for AutoRecovery are set before the above will apply.
