Syncing using MYOB AE Extra Field

If your MYOB AE to Nimbus integration is setup using an Extra Field, this will mean that only those Client Entities in MYOB, who have the Extra Field (may be called Nimbus Portal) set to a True value, will be synced to Nimbus.

Onboarding:

Your workflow for on boarding Clients will be as follows:
  1. Edit the Client Entity in MYOB and add in a True value in the Clients Extra Field “Nimbus Portal” (Note the name of this Extra Field may vary).  Ensure that this is updated in MYOB AE.
  2. Wait for a normal sync between MYOB AE and Nimbus to occur.
  3. The Client Entity information will now be visible in the Client Grid.
  4. If your Nimbus account had Client Folder templates setup for this particular Entity type, the system would have created the Client sub-folders based on that Folder Template.

Offboarding:

If a Client is archived in MYOB AE, and you do not wish for their data and files to be stored in Nimbus, you must perform the following:
  1. Edit the Client Entity in MYOB and remove the value in the Clients Extra Field “Nimbus Portal”.  Ensure that this is updated in MYOB AE.
  2. Wait for a normal sync between MYOB AE and Nimbus to occur.
  3. The Client Entity information will no longer be visible in the Client Grid.
  4. If the Client had files stored in the Client Folder in Nimbus, the Client Folder will become "Orphaned".  This means that the folder will be visible via the Business Documents (Documents off the main menu and then Green folder)
  5. You may delete / archive the data within the Nimbus system by editing the Folder properties. (Note that delete is available for Non-CDM subscriptions, and Archive is available for CDM subscriptions).
