Outlook Add-In to save emails to pre-defined Email folder

Both Nimbus and the Outlook Add-In have been enhanced to allow businesses to define a default folder to save Client emails.  

Currently when saving emails via the Outlook Add-In, staff must select the Client, then the Client sub-folder when saving emails. 

With the enhanced functionality, staff will now only need to select the correct Client Entity and complete any custom fields.  The system will automatically default to the correct Client sub-folder as setup in Nimbus.

Setting the default Client email folder in Nimbus:

This can be done either globally using the Client Folder template process, or individually on each Client by editing folder properties.

1. Setting the default Client email folder – Client Templates

The default Client email folder is a new option within the folder properties dialog.  To define the email folder for your Client Entities, the following process can be performed via the Default Client template or individually via each Entity template should your account have more than just the Default.

  1. Access the Client Folder template via Templates / Client Templates.

  2. Edit the <Default> template (other others if your account has them).

  3. Click the Folders tab.

  4. Expand the To Client folder to display the sub-folders.

  5. Create either a new sub-folder or edit an existing sub-folder which will be the email default folder eg: 2022/Correspondence.  The following sample screen shot shows a Correspondence sub-folder of the 2022 folder.

 

6. Click the Blue edit arrow to edit the folder properties.

7. Tick the newly added field called Mail Repository and click the Update button to save your changes.

8. All Client emails will now by default be saved into the defined location without having to manually select the folder path.

 

2.  Setting the default Client email folder – Individual Client folder

 

There may be scenarios where staff may want to specifically select an email for a specific Client Entity, which may be different to the default selected on the Client Folder Template.  It is possible to select a different folder to that which was selected on the Client Folder Template.

This is performed as follows:

  1. Locate the Client folder via the Client Grid.

  2. Open the Yellow Client folder.

  3. Navigate to the Client sub-folder you wish to make default Mail Repository for this Client Entity.

  4. Click the folder, blue edit arrow to open the Folder Properties.

  5. Tick the newly added field called Mail Repository and click the Update button to save your changes.
