Upgrading your WorkflowMax (WFM) to Nimbus connection
As a result of a recent security upgrade implemented by Xero, all Xero app partners connecting to Xero Practice Manager, WorkflowMax (WFM) and Xero SME have to comply with the new security standard by 30 September 2020.
The library which allows Nimbus to pull information from your WFM account has recently been upgraded by Xero (this is the Xero API library for all 3rd party providers).
This means that the way your Nimbus account connects to your WFM account will change.
To assist with this change, the connection between your WFM account and Nimbus must be upgraded before the 30th of September, 2020.
Note: as part of the upgrade, Xero requires that Two Factor Authentication (2FA) be enforced for ALL STAFF. This will be switched on automatically during the upgrade if not already enabled. When a staff member logs in to their Nimbus account, the 2FA pin will be sent via SMS. If there is no mobile number entered against the Employee profile, it will be sent via email. 2FA is required for both the Nimbus web browser login and login via the CDM AddIns.
The following article explains the steps involved in upgrading the connection between your WFM account and Nimbus.

Enable your WFM Staff API access privileges
Ensure NO STAFF are modifying your WFM account
Upgrade your WFM to Nimbus connection
1. Enable your WFM Staff API access privileges
When you connect your Nimbus account to WFM, a staff member will be required to login to WFM and confirm the connection.
Prior to connection, this staff member MUST Authorise 3rd Party Full Access within their WFM account. To do this, please perform the following:
Login to your WFM account
Via the Business tab, select Settings
Under the Organisation column, click on Staff
Select the Staff Member whose WFM Login credentials will be used to connect Nimbus with your WFM account
Scroll to the bottom of the page and locate the API Access Privileges section
Ensure the Full option is enabled. The following will display:
Click the Save button to save your changes.
2. Ensure no staff are modifying your WFM account
It is VITAL that staff are not modifying data within your WFM account whilst the Nimbus connection upgrade is taking place. If necessary, please ask ALL STAFF to logout of WFM prior to the upgrade. Depending on the number of Client Entities you are syncing from WFM to Nimbus, the upgrade process may take over 1 hour.
3. Upgrading your WFM to Nimbus connection
Before proceeding ensure you have the WFM login credentials for the Staff Member who has been granted Authorise 3rd Party Full Access within your WFM account AND ensure all staff are logged out of WFM.
Login to your Nimbus account with Admin access
Select Admin / AutoMate
Click the Perform Upgrade button
The system will then display a warning relating to item 1.6 above. Please ensure you have performed step 1.6 before proceeding.
If the staff member who has been granted API Access privileges is NOT logged into your XPM account, they will be asked to login via the following screen. If they are logged in, the system will jump to point 6 below.
NOTE: After clicking Yes to the question “Have you enabled your full API Access Privileges” your browser’s Pop-up blocker might prevent the Xero/WFM login page to launch. If the Xero/WFM login page does not open at this point, please check and allow your browser pop-ups as follows:
NOTE: If your browser settings blocked the Xero login dialog to pop-up, you will need to wait 5 mins for the Perform Upgrade button to re-display:
The system will then display the following screen requesting you to confirm the XPM account your Nimbus account will connect to:
To proceed with the upgrade, click the Allow access button.
The system will now display the progress of the upgrade. This information is displayed above the ServerGate buttons as shown below:
When the upgrade is complete, the system will then display the XPM connection and will allow you to again perform a Manual, or a Full Client Sync at any time.
After you have upgraded the connection to your WFM Account
The change in the library which allows Nimbus to pull information from your WFM account has also changed the Client Code reference in Nimbus.
Prior to the upgrade, Client Entities in WFM which did NOT have a defined Client Code, would display in Nimbus as follows:
After the upgrade, these same Client Entities will display in Nimbus as follows:
If your Business does not use Client Codes, you can simply remove the field from the Client Grid as follows:
Option to remove the Client Code from the Document menu Folder list
Nimbus provides an option to customise the display of the Document menu Folder list. This may be changed to simply just display the Client Name as follows:
